Understanding your Canva user report

Early in a Canva Enterprise rollout, your Canva account team produces a report of everyone on your email domains who already uses Canva. You do not need to have verified anything to get it, and it is the basis for deciding who you are managing. Two things about this report confuse everyone.

Early in a Canva Enterprise rollout, your Canva account team produces a report of everyone on your email domains who already uses Canva. You do not need to have verified anything to get it, and it is the basis for deciding who you are managing. Two things about this report confuse everyone.

When this applies: When you receive your user report from Canva, before you sign off who is being migrated.

Short answer: the two things that look like errors usually are not.

The same person appears several times

Your report has a USER_EMAIL column and a BRAND_ID column. A BRAND_ID is a team. One person appearing three times means they belong to three different teams, which Canva fully supports: "In Canva, you can be a team member of multiple teams."

So duplicates are expected. What we need from you is which team each person actually works in day to day. That is the one we migrate them from. The others we deal with separately, after your main rollout, so they do not hold anything up.

Canva does not publish a definition of the columns in this report. If anything in yours looks ambiguous, tell us and we will get it confirmed by your account team rather than interpreting it ourselves.

People you know are paying for Canva are missing

The report only sees your verified domains. Canva documents this limitation directly: "Team members using Canva on a domain different from your verified domain will be hidden."

So someone will be missing if they signed up with a personal email address, or with a company domain that is not on the list you gave Canva.

In practice, personal email signups are the usual explanation. Someone expensed a Canva Pro subscription on their own personal account three years ago and it has never touched your corporate domain. The report cannot see them, and neither can the migration.

This is worth chasing rather than shrugging at. Send us the accounts you know are missing and we will check them against your verified domains. If they are all on domains you have listed, that is a genuine gap in the report and we will escalate it to Canva with the evidence.

Before you sign off

Check that the list of domains Canva used matches every domain your organisation actually uses for email. A missing domain means every person on it is invisible to the report and to the migration.
